The clubhouse may ONLY be rented by an HVYC member in good standing with the club or by an Olde Point Easement Member.
Club members have priority over Olde Point Easement Members.
Club activities (social events, board of directors' meetings, general membership meetings, and Friday member nights (from 5:00-10:00 PM) have priority over all other rental requests.
Rental requests are handled on a "first come, first served" basis.
The clubhouse is generally reserved for blocks of three hours. Fees must be paid two weeks in advance of the event.
HVYC Member Rental Fees and Process
Security Deposit of $150 to be submitted with application (if applicable)
Exceptions:
· No deposit for “Meeting only” events with no food or beverage
· No deposit for HVYC immediate family functions. An $80.00 clean-up charge will apply.
Verify that the clubhouse is available by referring to the clubhouse rental calendar. If the date is open:
1. Contact and confirm with the clubhouse coordinator, Meg Bardar, at mbardar@charter.net, who will issue an application, application letter, and a copy of the policies and procedures.
2. The event will be scheduled in the clubhouse calendar and updated in the “Rental Dates Posting” in the clubhouse.
Prior to the event, the Clubhouse Coordinator will verify that the application and fees have been received and will provide instruction on how to manage the clubhouse facilities: managing the security alarm, controlling the heating and air, water, lights, fans, and grill, and accessing supplies, etc.
All party rentals are for a three-hour duration
Groups are allowed one "no charge" hour for event set up
Rental fees must be paid two weeks in advance of the event.
Flat fee of $140.00 for two hours for OPPOA section meetings

· $25.00 for each additional hour
